I am happy to inform you that all testing and adjusting of the One Corporate System (OCS) system has now been finalized, and we are now as good as ready to start trainings and go live!
The module to capture our donor proposals (pipeline) is already live and next week all staff of the LG&I program volunteered to be first to be trained and go live with our Time Registration (time-sheet) Module.
The idea is to use their feedback to make final improvements to the timesheet functionality and then start time registration trainings on bigger scale each week as per August 1st, to have all Program staff fully LIVE with timesheets before September 1st Training schedules will be distributed in the coming weeks.
In the second half of August many other OCS trainings will take place to train future OCS users (like PMO, PA, Budget holders etc) in the other modules, so that in the first week of September we can go live as well with the Procurement, travel and finance modules. That will mean immediately the end of current request forms and SUN system; they will then be completely replaced by OCS. Beware: we will only go live in Ethiopia and Kenya: Other countries will only start using OCS in 2016.
In the second half of August we will also organize an open day event at each campus, where all staff is welcome to see the OCS system’s current and future functionalities and get any additional information and answers they want. Finally, refresher and follow up trainings will be organized during September and October.
Even though the first weeks after implementation will surely be challenging, I am very convinced OCS will soon show and provide the additional management information, efficiency, transparency and donor compliance we so badly need to be fit for purpose and ready for growth. You will soon hear from me again concerning details on the trainings, open day and new procedures.
