OCS update from Martin van Weerdenburg

Many of you will have heard of the forthcoming OCS – One Corporate System, an online system that will be gradually rolled out to cover processes that are currently paper/manual including – research management, finance, POD, procurement.  In the first instance the system will be quite basic, but will help ILRI move towards greater efficiency.

Many staff have already participated in various learning events for OCS. In the next weeks and months a key activity will include participation in simulation of modules for key users, giving an opportunity for people to get used to the system, and to provide feedback.  Modules will include:

  • Time sheets
  • Research management; proposals
  • Requisitions
  • Travel
  • Finance

In September, we plan to have a consultant on board who will provide support in various ways, including confirmation of a ‘Go Live’ date.  Once this is confirmed, all staff will receive training in OCS during a 2–3 week period prior to the go-live date.  It is important that you participate in training, and plan your work to take account of a two week blackout period that will immediately precede the go-live date.

Following the go-live, there will be a period of learning and adjusting as the system is up and running, and a team will be at hand to provide support and guidance.

During this early phase, staff based in regions will continue to work through their counterparts in Nairobi and Addis.
